A quick and easy way to achieve efficiency, transparency and a better feedback culture - Case Study of a TimeInvest user
We are always delighted when our customers tell us about the rapid successes they have achieved by using our tool. Most recently, we spoke with Franz Eichner, who successfully introduced TimeInvest to his team and is now coordinating the global rollout. Starting with a team in Austria, England and Singapore are now to follow. The use in Austria quickly provided such positive signals that the global rollout was the logical consequence. In the next lines you can read all about these signals and learn how you too can achieve this progress.
Strengthen efficiency and feedback culture
The use of TimeInvest in Austria was basically for two reasons. On the one hand, they wanted to improve the efficiency of meetings and counteract a recognizable trend of more and more meetings. Participants and number of participants, structure, contents and especially the frequency of meetings should be questioned. With an organizational effort of about 25% in the entire company, even small improvements can have an extreme monetary impact.
On the other hand, they wanted to strengthen the feedback culture and give employees the feeling that they can make a difference. The increased transparency would motivate employees to think about changes and ultimately to take improvement measures. In particular, the feedback was also intended to motivate employees who prepare and hold training courses for their colleagues to continue doing so.
Little time required for significant improvements
The rollout started in April of this year with a team in Austria, where they were motivated to start using TimeInvest. Especially the short time needed to operate the tool immediately caused a positive response. Within three months, the use of TimeInvest was quickly extended to the entire department.
"We started using TimeInvest in an already highly motivated team. How quickly the tool was accepted and how consistently it was used, nevertheless surprised me positively", says Franz Eichner, Agile Coach and initiator of the TimeInvest rollout.

During this period, a total of 22 meetings were evaluated, six of which were daily, weekly or monthly recurring meetings. Both qualitative and quantitative improvements were immediately noticeable. The quantitative goal was set at 3.5. As a reminder, TimeInvest is based on the ROTI (Return of Time Invested) method, in which meetings are rated from 1 (time was badly invested) to 5 (time was excellently invested). The set mark was achieved in all evaluated meetings over time and the six recurring meetings all showed a positive trend. This could be achieved because for the first time, the meeting owners received real, anonymous feedback on the course and content of their meetings and were thus often able to achieve enormous improvements through small changes. In most cases, the quality of the meetings could already be improved by shortening the duration or slightly changing the group of participants.

With TimeInvest to a spirit of improvement
In the beginning, the feedback was strongly influenced by the general meeting fatigue of the participants. However, due to the implemented improvement measures and partially eliminated meetings, this quickly changed into constructive criticism or praise for the meeting organizer. Overall, the use of TimeInvest helped to establish a kind of improvement spirit. For example, a meeting-free Friday was established because it was found that meeting results over the weekend were often forgotten or at least not as present as necessary. Fridays should therefore be better used for "executing". In addition, it was quickly determined that there was a lack of interdepartmental coordination. The newly introduced "Cross Department Retro", which now takes place every six weeks, is intended to remedy this and has already met with an excellent response.
In fact, the meetings in Austria have not only become more efficient, but are also more fun. Everyone has the feeling of being able to make a constructive contribution and this flair does not end with the improvement of meetings. One could almost say that a general spirit of change has arrived. This manifests itself in "healthy meetings". The calendar is green throughout (above the 3.5 mark), participants participate and improvements in the meeting itself are quickly implemented.
